Weekly hours:  16 hours (3:30 pm – 7:30 pm  Monday – Thursday)

General position summary:  Along with general tasks that include making appointments, handling phone calls, greeting visitors and assisting other staff whenever needed, the Receptionist sets the tone of the newcomer’s experience through their welcoming greeting, empathetic responses and caring assistance.  The Receptionist determines the initial impression and atmosphere of The Victory Center.

Specific Responsibilities and Duties:

1.      Handling Phone Calls and the Front Desk

     a.      Direct incoming calls to staff or their voicemail

     b.      Answer questions from prospective participants, walk-ins, etc.

     c.      Welcome all visitors enthusiastically

 

2.      Managing Appointments

     a.      Make appointments for participants

     b.      Fill in appointments that have been cancelled

     c.      File Paperwork

 

3.      Participant Care Navigation

     a.      Perform care calls with active and former participants

 

4.      Office Assistant

     a.      Input class attendance into scheduling software

     b.      Assist with fundraising and other events

     c.      Other support activities as needed

Minimum Qualifications for position:  High School Diploma with strong computer skills, particularly with word processing, databases and/or scheduling software.  Has a pleasant personality, is a good listener, is patient, and willing to assist with compassion.   Should be well-organized, a quick learner, and cooperative.  Experience in a non-profit environment or with medical patients is preferred, though not necessary.
