Finance Director

Toledo Cultural Arts Center, Inc. (The Valentine Theatre)

Reports To: Executive Director

Location: Toledo, Ohio

Status: Full-Time, Exempt

The Valentine Theatre, operated by the Toledo Cultural Arts Center, Inc., is a historic performing arts venue in downtown Toledo dedicated to enriching our community through diverse performances and cultural programming. As we prepare for our 130th anniversary, we continue to expand our impact through education, partnerships, and world-class productions.

Position Summary

The Finance Director is responsible for the overall financial management of The Valentine Theatre, including accounting, payroll, budgeting, and financial reporting. This position ensures accuracy, transparency, and compliance in all fiscal activities while supporting the Executive Director, Board of Directors, and staff. 

Key Responsibilities

Financial Management

  • Oversee all accounting functions including accounts payable, accounts receivable, reconciliations, cash flow, and financial statements.

     
  • Prepare monthly, quarterly, and annual financial reports for internal and Board review.

     
  • Maintain and reconcile multiple accounts

     
  • Manage annual budget development in collaboration with department Directors, Executive Director, and Finance Committee.

     
  • Ensure compliance with internal financial policies and external reporting requirements.

     

Payroll & Human Resources

  • Prepare and process bi-weekly payroll; manage employee benefits, deductions, and retirement contributions.

     
  • Coordinate with payroll vendor and handle all related compliance filings (SUTA, 941s, BWC, etc).

     
  • Maintain personnel records, benefit documentation, and compliance with HR policies.

     

Audits, Taxes, and Grants

  • Coordinate annual financial review/audit with external accountants; prepare all supporting documentation.

     
  • Prepare annual IRS Form 990 and State Verification Reports.

     
  • Compile financial data and reports for grant applications, CDP Data Arts submissions, and final grant reporting.

     

Administrative Support

  • Manage revenue tracking for bar and concession operations, educational programs, facility rentals, and fundraising events. 
  • Oversee contracts and renewals related to utilities, insurance, equipment, and IT services.
  • Maintain QuickBooks systems, ensuring data integrity and proper reporting.

     
  • Coordinate with outsourced IT provider for hardware/software updates and cybersecurity compliance.
  • Other duties as assigned.

     

Qualifications

  • Bachelor’s degree in Accounting, Finance, or related field (required).

     
  • 5+ years of experience in nonprofit or small business accounting (preferred).

     
  • Proficiency in QuickBooks, Excel, and financial reporting software.

     
  • Strong organizational, analytical, and communication skills.

     
  • Demonstrated ability to manage complex budgets and meet deadlines with precision.

     
  • Commitment to confidentiality and professional integrity.

     
  • Supervisory experience is a plus.
