ABOUT TAPA
The Toledo Alliance for the Performing Arts (TAPA) is a collective consisting of the Toledo Symphony, Toledo Ballet, Toledo Symphony School of Music, and Toledo Symphony Youth Orchestras. TAPA strives to establish meaningful partnerships with individuals and organizations that fundamentally impact the cultural life of our region. As a vibrant and growing arts organization, TAPA empowers all in our region to experience the performing arts through concerts, recitals, education programs, community engagement and activation, private lessons, fully staged productions and more.
ABOUT THE POSITION
The Facilities Manager at the Toledo Alliance for the Performing Arts is responsible for ensuring the Toledo Center for Live Arts facility is maintained with high standards for safety, appearance, and cleanliness.
The ideal candidate will have experience working in large commercial and/or education buildings with knowledge of systems operations, routine and preventative maintenance schedules, and the ability to work in a fast-paced environment serving the needs of students, staff, families, performers, and audiences.
Primary Responsibilities:
Monitor and maintain HVAC, elevator, plumbing, drains, security and fire equipment, kitchen equipment, and inventory of related consumables (filters, salt for water softener, etc.)
Create and maintain daily, weekly, monthly, annual preventative maintenance schedules
Ensure compliance with applicable codes, laws, rules, regulations, standards, policies and procedures
Recommend appropriate upgrades of equipment or facilities
Maintain vendor relationships and meet with vendors frequently
Prepare the building for special events and daily operations
Maintenance and Repairs
Maintain the interior and exterior appearance of building
Perform building repairs, including basic carpentry and painting, as needed
Repair and replace interior, exterior, and emergency lighting
Ensure that tools, equipment, furniture, and supplies are organized and in good working order
Maintain appearance of sidewalks, courtyard, receiving dock, and exterior of building
Maintain a safe and clean working environment
Custodial Services
Schedule and supervise contracted cleaning service crew, trash and recycling services, snow removal services, pest control, and other vendors
Ensure that all doors, aisles, stairs, exits, and walkways are clear of obstacles
Order and inventory of all paper goods for the organization (both public spaces and administrative offices); includes, but not limited to, toilet paper, paper towels, etc.
Work closely with custodial vendors to ensure the facility is tidy and in shape for pre- and post-event needs
Ensure that all trash is emptied in a timely manner throughout the week, in coordination with custodial vendor
Safety and Security
Ensure that all TAPA staff members are properly trained in securing the facility
Maintain security features for all staff including, but not limited to, key distribution, key fob activation, and security code activation
Conduct safety training for all staff throughout the year. Training courses include, but not limited to, weather related safety, building activation, and active shooter
Work closely with TAPA’s security company to ensure compliance and safety needs are met
Maintain current security vendor relationship
Special Projects
Assist production management teams with coordination and execution of special projects needed for performances and special events
Create and maintain an emergency preparedness plan for the building and its users
Qualifications
Appropriate experience and/or bachelor’s degree; applicable vocational training preferred
Good verbal and written communication skills
Able to lift a maximum weight of up to 75lbs
Proficiency in the use of hand and power tools such as hammer, electric drill, saws, etc.
General carpentry and painting skills required
Able to climb ladders and operate scissor lift
Familiarity with, or certification in, forklift operations
Proficiency in using computer programs, including the Microsoft Office 365 environment and applications
Familiarity with building operating systems (HVAC, monitoring software, security systems, etc.)
Knowledge of the bidding process
Management of a large, active building is a plus
A Successful Candidate Will:
Have excellent organization skills: ability to coordinate projects and manage multiple and diverse tasks simultaneously; ability to follow through and meet deadlines
Take initiative and prioritize tasks; excellent time management, problem-prevention, and problem-solving skills
Represent TAPA with a high level of integrity and professionalism, adhere to TAPA policies and support management decisions in a positive, professional manner
Create and maintain multiple external vendor relationships
Be dependable under both supervised and unsupervised conditions
The Fine Print
This position is full-time/exempt, in office with mostly day-time hours. Some nights and weekends, plus on-call availability, will be required from time to time.
Paid leave includes five sick days, two personal days, your birthday, and at least 12 paid holidays. In addition, four weeks paid vacation and a flexible work schedule during the summer is provided with the ability to roll over 5 days (40 hours) unused vacation time annually.
